Terminology

CAFM or CMMS: which one do you actually need?

The two terms get used interchangeably by vendors, which is not helpful when you are comparing systems. Here is the honest distinction, and why we implement them as one module.

Buildings and space

CAFM

Computer-Aided Facility Management. Built around the building: the asset register, space and location hierarchy, contracts per site, compliance certificates and the client-facing service level.

Assets and work

CMMS

How a maintenance job actually runs

Eight steps from an asset on a register to cash in the bank. Most systems handle the middle four and lose the ones at each end.

  1. The asset goes on the register

    Tagged, located in the site hierarchy, with its warranty, service contract and expected life recorded once.

  2. A schedule attaches to it

    Quarterly, by running hours or by condition. The schedule belongs to the asset, so replacing the asset carries it over.

  3. Work orders generate themselves

    PPM jobs appear on the queue without anyone remembering to raise them. This is the single change that moves the planned-to-reactive ratio.

  4. The right technician gets it

    Assigned by trade, site and availability, with the SLA clock already running against the contract it belongs to.

  5. Parts leave the store against the job

    Consumption posted to the work order rather than written off to overhead, so cost per asset is real.

What is a CAFM system?

A CAFM system, short for Computer-Aided Facility Management, manages buildings and the services delivered in them: the asset register, the site and space hierarchy, maintenance contracts, service level agreements and compliance certification. It is the system an FM service provider runs its client contracts on, as opposed to a CMMS, which is organised around the equipment itself.

What is the difference between CAFM and CMMS?
